The Black Authors Festival invites select vendors, entrepreneurs, and premium brands to participate in the 2027 Black Authors Festival Marketplace, presented under this year’s theme, BLACK INK. Hosted at the distinguished Breakwater Yacht Club in Sag Harbor, New York, the Festival brings together authors, cultural influencers, professionals, community leaders, and an elevated audience for a signature celebration of Black literary excellence, culture, entrepreneurship, and intellectual freedom.
This is an opportunity to showcase your brand, introduce your products and services to Festival attendees, and establish meaningful connections in a sophisticated literary and cultural setting.
VENDOR EXPECTATIONS & PARTICIPATION REQUIREMENTS
Product Selection and Presentation
Vendors are expected to offer quality merchandise, products, and services appropriate for the Festival’s elevated audience. Your merchandise display, table presentation, branding, and customer engagement should reflect professionalism, attention to detail, and the overall standard of the Black Authors Festival. Vendors are encouraged to create polished, organized, visually appealing displays that enhance the Marketplace experience.
Vendor Setup and Arrival
All vendors must arrive with sufficient time to unload, arrange merchandise, and complete their displays no later than 2:15 PM on Saturday, August 7, 2027. Vendors who arrive after the designated deadline or fail to complete setup on time may be denied entry or participation at the Festival, without a refund. Please plan accordingly, as late arrivals cannot be accommodated at the expense of the event schedule.
Table Management and Staffing
Vendors are responsible for supplying, organizing, securing, and managing their merchandise and assigned vendor table throughout the event. A vendor assistant is strongly recommended to support customer service, sales transactions, inventory management, and breaks. Vendors must not rely on neighboring vendors to supervise their tables, handle transactions, or safeguard their merchandise. You are responsible for ensuring that your table remains attended and professionally presented throughout the Festival.
Insurance, Liability, and Merchandise
All vendors must maintain their own appropriate business and liability insurance and are responsible for obtaining any permits, licenses, or approvals required for their products or services. Vendors are solely responsible for their merchandise, equipment, display materials, cash, payment devices, and personal belongings. The Black Authors Festival is not responsible for lost, stolen, damaged, or unsold merchandise, equipment, or other vendor property. Vendors are also responsible for ensuring that their products comply with all applicable laws, safety standards, and regulatory requirements.
Food and Hospitality
Food is included in the vendor participation fee. Additional details regarding food service, timing, and arrangements will be communicated to confirmed vendors before the Festival.
Sales and Business Performance
The Black Authors Festival provides a platform for visibility, engagement, and potential business development; however, vendor participation does not guarantee sales, revenue, customer leads, or a specific level of commercial success. Vendors are solely responsible for their pricing, payment processing, customer transactions, inventory, and sales reporting, as applicable. BAF is not responsible for how much or how little a vendor sells.
Vendor Recognition and Announcements
Vendor announcements will be made throughout the Festival to acknowledge participating businesses and help direct attendees' attention to the Marketplace. These announcements are intended to support visibility and engagement but do not guarantee individual sales or a specific amount of promotional exposure.
IMPORTANT BOOKING AND REFUND POLICY
All vendor sales and registration fees are final and nonrefundable. Please carefully review the participation requirements, event date, location, setup deadline, staffing needs, insurance obligations, and product suitability before registering. By completing your vendor registration and payment, you acknowledge that you understand and accept these terms.
Vendor registration is a commitment to participate in the 2027 Black Authors Festival Marketplace. Failure to attend, late arrival, incomplete setup, insufficient staffing, dissatisfaction with sales performance, or a change in business circumstances does not entitle a vendor to a refund. Vendor spaces are subject to availability and confirmation by the Black Authors Festival.
