Vendor Rules of Engagement & Agreement
We are excited to welcome you as a valued vendor at the nationally recognized Black Authors Festival @ Sag Harbor. To ensure a seamless, professional, and enjoyable experience for all, please carefully review and adhere to the following Rules of Engagement. Submission of your vendor application and payment indicates your acceptance of these terms.
1. Load-In & Set-Up
Vendor Load-In Window: 1:30 PM – 1:50 PM.
Vendors arriving after 1:50 PM will not be permitted to set up and no refunds will be issued under any circumstances.
All booths must be fully operational by 2:00 PM.
2. Booth Requirements
Vendors must provide their own signage, table, and chairs (maximum of one table and two chairs).
Booths must remain neat, professional, and presentable at all times.
Eating at booths is prohibited; meals will be provided separately.
Booth signage must be clear and visible to attendees.
Vendor areas may not exceed the allocated footprint; displays must not block walkways or obstruct other vendors.
3. Staffing & Conduct
Booths must not be left unattended. Vendors are strongly encouraged to hire an assistant (available for an additional fee).
Vendors are expected to engage actively with attendees, not sit passively behind their tables.
Professional, business casual summer attire is required. While not corporate formal, this is an upscale event—dress appropriately as you are representing your brand.
Vendors must conduct themselves respectfully toward attendees, staff, volunteers, and other vendors.
4. Sales & Transactions
Vendors are solely responsible for all sales transactions, including payment processing.
Only cashless payments are permitted (Zelle, CashApp, Venmo, PayPal, etc.).
The Black Authors Festival is not responsible for sales performance, lost revenue, or unsold inventory.
Vendors are responsible for collecting unsold merchandise at the end of the event. Items left behind will be discarded.
5. Amenities
Each vendor fee includes:
One meal voucher
Unlimited bottled water
Additional meals are available for purchase.
6. Prohibited Items & Activities
No unauthorized food or beverage sales.
No illegal, counterfeit, or unlicensed merchandise.
No amplified sound, loud music, or disruptive activities at vendor booths.
No subleasing or sharing of vendor space without written approval.
7. Liability & Disclaimers
Vendors participate at their own risk.
The Black Authors Festival, its partners, and the venue are not liable for theft, loss, damage, or injury occurring before, during, or after the event.
Vendors are responsible for maintaining their own insurance coverage for liability and property.
Failure to comply with these rules may result in removal from the event without refund.
8. Breakdown
Vendor booths must remain open until the official end of the event.
Early breakdown is strictly prohibited.
All vendor property must be removed from the premises immediately after the event.
By applying and submitting payment, vendors agree to all terms and conditions listed above. Rules are subject to change at anytime and for any reason that the Black Authors Festival Management deems necessary. We have a no refund policy.
